GlobalGiving is currently seeking a full-time
Administrative Assistant
to support general clerical and administrative needs for the
organization. The Administrative Assistant is responsible for ensuring
the smooth day-to-day functioning of a growing, dynamic organization,
providing staff with clerical support, and managing general
administrative functions of the office.
The Administrative Assistant must have a good public persona and strong
communications skills, since he/she also will be responsible for acting
as receptionist, answering phones and greeting visitors. In this
capacity, he/she will interface with GlobalGiving donors, partners,
vendors, and funders.
Principal Activities/Objectives
Day-to-day office management,
including:
o Answer phones and manage phone systems (e.g. voicemail)
o Order and manage supplies and other office equipment within
budgets
o Handle incoming and outgoing mail, packages, and faxes
o Coordinate and prepare materials for weekly staff meeting and
other meetings
o Arrange/oversee office cleaning/facilities management
o Interface with building management on issues of maintenance and
general housekeeping, reserving conference room space, etc.
o Monitor and maintain standards of office tidiness and
cleanliness – establish and monitor effectiveness of rules for staff to
follow
o Create and maintain administrative filing systems
o Create and maintain "permanent" master files of vendor
information/ leases
- Manage calendar/schedule and occasional travel arrangements for
executive staff
- Prepare correspondence as needed
- Manage online customer service
- Support Finance Department in the processing of accounts payable
and distribution of checks
- Update and create general office documents
- Process donation gift cards and tax receipts for donors
- Work on short-term projects for different departments as needed
Required Experience/Personal
Attributes
The ideal candidate will:
- be comfortable and enthusiastic about working in an
entrepreneurial and fast-paced environment, with a diverse and
high-energy team (approximately 18 full- or part-time staff members)
- possess demonstrated organizational, planning and prioritization
skills, including the ability to pay attention to detail, deal with
changing priorities and be a resourceful problem solver
- have the ability to effectively work autonomously with minimal
management oversight and be comfortable taking initiative and managing
his/her time effectively
- have strong oral and written communication skills and computer
proficiency in Microsoft Office applications (Word, PowerPoint, Excel)
including mail merge functions, and a willingness to learn how to use
new
software programs.
